What is a call flow builder

A call flow builder is a visual tool for designing exactly what happens on every incoming call. Instead of static settings, you connect blocks, greetings, IVR menus, business hours, ring groups, voicemail, and forwarding, into a single flow. Callers move through the path you design and reach the right destination every time.

Build smarter call flows with AI

Add DialBird AI anywhere in your call flow to answer questions, understand
caller intent, and route conversations based on the rules you set.

Call flow best practices

Do

Bury callers under long, multi-level menus they have to memorise.

Route each option straight to the right team, number, or voicemail.

Set business-hours rules so after-hours calls go to voicemail or forwarding.

Update your flow visually in minutes, with no rebuild or telecom help.

Avoid

Bury callers under long, multi-level menus they have to memorise.

Send every call to the same ring group and hope someone picks up.

Leave after-hours callers with endless ringing and no message.

Rebuild your whole phone system every time a team or an hour changes.

Frequently asked questions

What is a call flow builder?

A call flow builder is a visual tool for deciding what happens when someone calls your business number. In Dialbird you drag nodes onto a canvas, like a menu, ring group, voicemail, business hours, or forward, and connect them into the exact path a caller should take. There's no code and no phone system engineer needed.

Do I need any technical or telecom knowledge to build a call flow?

No. You build the whole flow by dragging and connecting nodes on a canvas, then click Publish. There's no code, no PBX programming, and no hardware to install.

Can I build a phone menu (IVR) with the call flow builder?

Yes. Add a Menu node to play a greeting and route callers on the key they press, like 1 for Sales or 2 for Support. Each option can point to a person, a ring group, voicemail, or another step in the flow.

Can calls route differently during and after business hours?

Yes. Add a Business hours node and the flow branches on whether you're open or closed. Callers reach your team during open hours, and go to voicemail, a message, or a forwarding number after hours, on weekends, and on holidays.

Will editing a call flow disrupt live calls?

No. Editing a flow creates a draft, and your callers keep hitting the published version until you press Publish. You can safely rework your routing in the middle of the business day.

Can I use my existing number, or do I need a new one?

Either works. Start with a free Dialbird number or port your existing business number, then open the number's settings and point it at your call flow.

Does the call flow builder work on mobile?

Yes. Dialbird runs on the web and on iOS and Android, all synced, so you can build or adjust a call flow on your desktop and take the routed calls on your phone.
